Privacy Policy for Government People Hub

This notice sets out how we will use your personal data, and your rights. It is made under Articles 13 and/or 14 of the UK General Data Protection Regulation (UK GDPR).

Your data

Purpose

The purpose(s) for which we are processing your personal data is(are):

To provide a central platform for members of the Government People Function. The site will disseminate news, guidance, learning and development opportunities to HR and People professionals within the Civil Service.

Functionality of the site will include:

  • Creating and managing user accounts
  • Providing communications and hosting media
  • Facilitating a people finder directory and associated profile pages
  • Facilitating forums/message boards
  • Website analytics
  • Feedback on the platform
  • Maintaining accurate, up-to-date data on the size and makeup People Function to support capability planning

The data

We will process the following personal data:

  • Name
  • Email address
  • Work region
  • Job titles, grades, profession, HR job family and organisation
  • Feedback/opinions on the website or other products
  • Content added to forums
  • Information on website use
  • Health (accessibility) related information where provided in feedback

Content on the platform may include blogs, uploaded documents, video, audio, and photos

Legal basis of processing

The legal basis for processing your personal data is a public task, in this case that is running a cross government platform for HR staff.

The legal basis for processing audio, photos, videos and similar material on the platform is that you have provided consent.

Special category data is personal data revealing racial or ethnic origin, political opinions, religious or philosophical beliefs, or trade union membership, and the processing of genetic data, biometric data for the purpose of uniquely identifying a natural person, data concerning health or data concerning a natural person’s sex life or sexual orientation.

The legal basis for processing your health related information is:

Substantial public interest, in this case that is identifying or keeping under review the existence or absence of equality of opportunity or treatment between groups of people specified in relation to that category with a view to enabling such equality to be promoted or maintained.

In some cases, your health information may be processed on the basis that you have given explicit consent.

For Cabinet Office employees, processing your health related information may also be required for our employment obligations to you.

Recipients

Your personal data will be shared by us with our platform provider who acts as a data processor. All platform providers with access to data will have Security Clearance (SC)

Your data may also be shared with our survey provider who acts as a data processor if you complete a feedback survey.

Retention

Your personal data relating to your account will be kept by us for as long as you remain an active user of the People Hub platform. This will be removed should you delete your account, ask to be removed, after a period of inactivity (13 months) or when we no longer require your contact details.

Survey related personal data will be anonymised after approximately one year.

Any other personal data will be deleted at the point where the People Hub is no longer active or terminates, or the data is no longer required.

Your rights

You have the right to request information about how your personal data are processed, and to request a copy of that personal data.

You have the right to request that any inaccuracies in your personal data are rectified without delay.

You have the right to request that any incomplete personal data are completed, including by means of a supplementary statement.

You have the right to request that your personal data are erased if there is no longer a justification for them to be processed.

You have the right in certain circumstances (for example, where accuracy is contested) to request that the processing of your personal data is restricted.

You have the right to object to the processing of your personal data.

Where personal data is processed on a basis of consent: You have the right to withdraw consent to the processing of your personal data at any time.

You have the right to request a copy of any personal data you have provided, and for this to be provided in a structured, commonly used and machine-readable format.

International transfers

Our platform provider uses services based in the EU and your personal data may be transferred to the EU on the basis of an adequacy decision.

Complaints

If you consider that your personal data has been misused or mishandled, you may make a complaint to the Information Commissioner, who is an independent regulator.  The Information Commissioner can be contacted at:  Information Commissioner’s Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF, or 0303 123 1113, or icocasework@ico.org.uk.

Any complaint to the Information Commissioner is without prejudice to your right to seek redress through the courts.
